Our flagship solution TIMEFLOW is an on-demand time, expense, mileage and
invoice managment system.
We provide a low cost solution that harnesses the latest
technological advances of the Internet. The success of our timesheet module
has led to continued investment and development of additional modules, giving
organisations more functionality and more reasons to use our service.
The TIMEFLOW concept is quite simple because the process enables you to enter
time and expense data into modules. These modules are linked meaning, for
example, that no invoice can be generated without an approved timesheet or
billable expense. Whilst the concept is simple, the approach makes the solution
appealing to many organisations because it ensures that a robust process is
followed. A robust process means an end to unreliable time entry systems
and bad practices. Whilst we recognise that the solution may not be suitable for everyone,
lets face it one size does not fit alll, we do endeavour to listen to our
customers recommendations and make continued improvements to the system. The bottom line is that
we want to save you time, money and effort by providing you with a streamlined business
solution. There are many reasons for wanting to use TimeAssured.co.uk,
employers wanting a robust time approval system, accountants wanting accurate
expense recording, employees and contsultants wanting a failsafe method for
recording business mileage. The list goes on but whatever the reason you can be
sure that we will provide a first class service.
Imagine the scenario, a freelancer is located at a remote client site in Europe.
The line manager is located at company HO in the US. In order to invoice his client he must first seek client approval in the form of an approved timesheet. In the past the freelancer has alway's relied upon paper based timesheets and manual signature from the reporting line manager. Now if the reporting manager is located eslewhere as is often the case, this becomes a bit of a problem, timesheets will need to be emailed, printed and signed, scanned, emailed/faxed back. The process is not unworkable, we agree, but it's not efficient and it's not fail safe. There is no central repository for recording the working hours, no audit trail, and there is the potential of forged signatures. With TIMEFLOW, the freelancer can enter client and assignment details and start recording the number of hours or days at anytime in a repository. Then using a workflow process the timesheet can be sent for approval. The reporting manager receives the timesheet details and (from his email inbox) clicks the verification link to our web application server, enters the neccessary approval/rejection, and the jobs done in a matter of seconds. Whilst this is going on, a number of approved timesheets/rejected timesheets are also fired off to the freelancer and the accounts dept providing them with the required level of approval. This can take a matter of seconds.
*our approval system is unique in that line manage does not have to be a
registered user - this helps to keep your costs down.
But lets not stop there, the freelancer now wishes to enter some billable expenses in order to be reimbursed by the client. Using the billable expense module the freelancer can add multiple expense types and record billable expenses. In order to keep track of non-billable (personal) expenses the freelancer can enter these into the non-billable expenses module. The freelancer wishes to track business mileage as part of a reimbursement agreement with the client or simply to satisfy the tax authorities. This can be achieved through the mileage module. Leaving the best to last, it's time to invoice the client. TIMEFLOW takes all the information previously entered i.e. approved timesheets and billable expenses, and the freelancer can now generate the invoice in a couple of mouse clicks.
The scenario above might not be the same for every organisation. It may be that certain organisations just want to introduce some kind of standard timesheet approval system. They might want to give employees access to expense management tools that allows them to record expenses and export to a speadsheet on a regular basis.
